Special Event Request Information

Applicants requesting to hold special events or outdoor activities on public property within the City of Ashland — including parks, streets, sidewalks, and other city-owned spaces — must complete a  Special Event/Outdoor Activity Application. This includes events such as races, parades, festivals, demonstrations, and filming. If you are unsure if your event requires a Special Event Permit, please contact us.

Applications must be submitted at least 90 days before the proposed event. Once the application has been approved, you will be invoiced a $130 application fee. 

Before completing the online application, please keep the following in mind:

  • Liability insurance is required for any special event held within the parks. You must obtain liability insurance in the amount of  $1M per occurrence / $2M aggregate (+$2M liquor liability when applicable) with an endorsement naming the City of Ashland as additionally insured. Evidence of coverage must be provided at least 10-days prior to the first day of your event.
  • Park Rules and Regulations
  • Fees and Charges for Special Event/Outdoor Activity; such as application fee, security deposit, booth fee, etc.
  • If you will be requesting to have booths in Lithia Park, view the Butler Memorial Site Plan (PDF) (booths are allowed in the parking area of the bandshell and one side of Winburn Way) Booths include informational, vendor display, or a food truck. (Food trucks are REQURED to have a business license for the City of Ashland, if they do not, they can acquire one here.)
  • With the exception of booths during a special event, selling in parks is prohibited, however donations are allowed. Please review the Selling in Parks and Special Event Booth Policy (PDF)
  • View the rules for consuming or selling alcohol within Ashland Parks. See the Updated APRD Rules for Alcohol Use in Parks and if you would like to request a permit for selling or consuming alcohol at your event you must fill out the APRD Alcohol Use Supplementary Application. Submit your application to parksinfo@ashlandoregon.gov. You must also submit a Special Event Request Form.
  • A mandatory on-site meeting with Ashland Parks & Recreation Staff is REQUIRED for all new and/or returning events.

Please note: A City of Ashland Special Event Permit is required for planned activities (races, parades, festivals, demonstrations, film and video, etc.) that occur on City of Ashland streets, parks, sidewalks or other public grounds.
